While each manufacturer and each DMS provider have their own nuanced differences, our process can be applied to provide an excellent warranty processing solution for clients of any OEM or DMS system.
Assuming that all of the pertinent steps in our Warranty Standard Operating Procedures have been followed; any claim marked as ready for submission that is provided by 12:00pm in your respective time-zone will be processed by the end of the day. Any claim provided after 12:00pm in your respective time-zone will be processed by noon the following business day.
If your manufacturer processes warranty claims in real time, then any claim that kicks back in need of additional attention will be addressed immediately by our staff, and if need be, the pertinent members of your fixed operations team will be contacted by us for any supplemental information required for the claim. If your manufacturer processes warranty claims in batches, then the same steps will be taken once the result of the submission batch updates in their respective system.
Seeking prior approval for a repair that dictates the necessity to do so, as well as securing approval for a goodwill repair are responsibilities of the service department staff of your dealership; but our team does like to be included in these correspondences to ensure all parties are up to date on the state of the repair and to offer our assistance if need in any way we can.
Yes, as our team has in-depth familiarity with automotive dealership accounting processes; but each dealerships needs and preferences are unique. It is up to the discretion of our client dealerships if they want us to post their credit memos or if they prefer their own in-house accounting staff to tend to that aspect of their Fixed Operations process.
